Privacy Policy
Office Ark Co., Ltd. (hereinafter referred to as "the Company") recognizes the importance of protecting the personal information of users (hereinafter referred to as "Users") of the services provided by the Company. To ensure thorough protection, the Company complies with the Act on the Protection of Personal Information, guidelines for specific business sectors established by competent authorities, and other relevant laws and regulations. The Company handles personal information as defined in Article 2 of this policy (hereinafter referred to as "this Policy")
- 1(Application)
- This Policy applies to all services provided by the Company. The Company may establish separate privacy policies or terms of use for individual services (hereinafter collectively referred to as "Individual Terms"). In cases where Individual Terms provide separate provisions for the handling of information, the provisions of the Individual Terms shall take precedence.
- 2(Acquisition of Personal Information)
- The Company handles information acquired through lawful and fair means. Additionally, the personal information that Users acquire may be shared among various services and business operations. Note that the term "personal information" as used herein refers to "personal information" as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the "Act"), specifically "personal data" as defined in Paragraph 3 of Article 16 of the Act. Depending on the content of the information, it may not fall under the category of personal information, but the Company will also handle such User information with due care (In this Policy, personal information and User information that does not fall under personal information are collectively referred to as "personal information.")
- 3(Purpose and Scope of Use of Personal Information)
- 1. The Company uses the personal information, it holds for the following purposes and does not handle it beyond the scope necessary to achieve these purposes:

- (2) Preventing or correcting unauthorized use
- (3) Creating statistical data for service improvement
- (4) Service introductions (including campaigns)

- 2. If the Company acquires personal information, for purposes other than those listed above, the Company will explicitly inform or announce the purpose of use to the Users. However, the following cases are excluded:
- (1) When informing or announcing the purpose of use to Users may harm the life, body, property, or other rights and interests of Users or third parties.
- (2) When informing or announcing the purpose of use to Users may harm the rights or legitimate interests of the Company.
- (3) When cooperation is necessary for national or local government agencies to carry out their statutory duties under the law, informing or announcing the purpose of use to Users may impede such duties.
- (4) When the purpose of use is considered to be clear from the circumstances of the acquisition.
- 4(Outsourcing of Information Management)
- When the Company outsources the handling of personal information, within the necessary scope, the Company will conduct the necessary and appropriate supervision of the outsourced party to ensure the safety and management of personal information.
- 5(Management of Personal Information, etc.)
- The Company takes necessary and appropriate measures to prevent the leakage, loss, or damage of personal information, etc., and to ensure the safe management of personal information, etc.
- 6(Disclosure of Personal Information)
- When the Company receives a request from the User or their agent to disclose the personal information, etc., that can identify the User and records of third-party provision, the Company will disclose such information, except in the following cases:
- (1) When there is a risk of harming the life, body, property, or other rights and interests of the User or a third party.
- (2) When it may significantly impede the proper conduct of the Company's business.
- (3) When it would violate the law.
- 7(Correction of Personal Information)
- 1. When the Company receives a request from the User or their agent to correct, add, or delete (hereinafter referred to as "Corrections") the personal information, that can identify the User, if the content is not factual, the Company will conduct a necessary investigation. Based on the results of the investigation, the Company will proceed with the correction.
- 2. The Company will promptly notify the User of the outcome (including the details of the corrections) when all or part of the personal information, has been corrected, or when the Company decides not to make any corrections.
- 8(Suspension of Uses)
- 1. When the Company receives a request from the User or their agent to stop using or delete (hereinafter referred to as "Suspension of Use") the personal information. that can identify the User, on the grounds that it was obtained without the User's or their agent's consent, beyond the scope necessary for the intended purpose, or by false or other unlawful means, the Company will conduct an investigation. If it is found that the request has a valid reason, the Company will promptly take the necessary measures to suspend the use of the relevant personal information.
- 2. The Company will also conduct an investigation upon receiving a request from the User or their agent to stop providing personal information, to a third party if it is believed that the information was provided to a third party without the User's consent in an unlawful manner. If the request is found to have a valid reason, the Company will promptly stop providing the personal information, to the third party.
- 3. In addition to the above two paragraphs, the User or their agent may request the Suspension of Use and stop the provision to a third party in the following cases. Upon receiving the request, the Company will conduct an investigation, and if the request is found to have a valid reason, the Company will promptly take the necessary measures to stop the use and provision to a third party of the personal information:
- (1) When the personal data held is no longer needed for use
- (2) When a leak or other issue has occurred with the retained personal data
- (3) When the handling of the personal data held is likely to harm the rights or legitimate interests of the User
- 9(Use of Cookies)
- 1. The Company may collect information such as preference information, history information, and other information related to the User's personal information (hereinafter referred to as "Usage Information") through Cookies and IP addresses for the purpose of improving service convenience, delivering advertisements, obtaining statistical data, and other purposes as described in Article 3.
- 2. The Company may use Usage Information collected based on the preceding paragraph without restriction, provided it is in a format that does not identify individuals or cannot be linked to personal information.
- 3. Users can refuse the use of Cookies by the Company by disabling Cookies in their browser settings. However, please note that disabling Cookies may result in some inconvenience when using the service.
